For staffing & secondment agencies

How we help agencies.

From the first client call to the last invoice, most of an agency’s work runs through people copying data between tools. We take that work off your team, one part at a time, on top of the tools you already use.

What we automate

Eight areas. Pick where it hurts.

Every agency is different, so this is a menu, not a package. We start with the part that costs you the most.

01

Winning clients.

More of the right conversations, less manual prospecting.

  • Daily leads from companies advertising roles you can fill, checked against your CRM and sent to the right account manager.
  • A watch on your existing clients’ career pages, so no role at a current account goes to a competitor unnoticed.
  • Tender and framework monitoring for secondment work, with deadlines tracked.
  • CRM clean-up: duplicates merged, contacts kept current, quiet accounts flagged.
02

Vacancies and sourcing.

From intake to a filled pipeline, without starting from zero every time.

  • Structured vacancy intake that captures function, CAO scale, shifts, knock-out criteria and the client’s pay details in one go.
  • Vacancy texts drafted in your style, with a check that the salary is in the ad.
  • Multiposting with spend per job board tracked back to the placement, and paused when the role fills.
  • Your own candidate database reactivated: matching people asked about availability, with AVG consent handled.
03

Screening and candidates.

Recruiters talk to the right people, the admin happens by itself.

  • Knock-out questions over WhatsApp: driving licence, VCA, availability, travel distance, right to work.
  • CVs turned into client-ready profiles in your house style, anonymised when needed.
  • Screening calls summarised straight into the ATS.
  • Status updates and shift reminders sent automatically, with an alert when someone does not confirm.
04

Contracts and onboarding.

A new worker ready to start without a stack of paperwork.

  • Digital onboarding: ID check, BSN, IBAN, payroll tax form and e-signing, written back to your ATS and backoffice.
  • Contracts generated with the right phase and CAO logic.
  • A register of every client’s pay rules for inlenersbeloning, versioned and confirmed.
  • Certificates collected and kept current: VCA, driving licence, VOG, A1 forms.
05

Planning and hours.

Hours that are right the first time, approved on time.

  • Availability collected every week and fed into your planning.
  • A sick report triggers a ranked list of available, qualified workers nearby, and the first to accept is booked.
  • Mobile hour registration and one-click approval by the client.
  • Client timesheets in Excel or PDF read in, and hours checked for errors before they reach payroll.
06

Payroll and invoicing.

Approved hours become payslips and invoices, without retyping.

  • Hours to payroll with every client’s allowances applied automatically.
  • Approved hours turned into invoices straight away, per client rules for rates, PO numbers and cost centres.
  • The G-rekening share on every invoice, and incoming payments reconciled.
  • Payment reminders and a cash-flow view of weekly wages against what clients still owe.
07

Compliance and WTTA.

A file that is ready on the day an auditor asks for it.

  • One place for every piece of SNA and WTTA evidence, with a score of how audit-ready you are.
  • ID, residence and work permits monitored, with alerts before they expire and a block on planning when they have.
  • Phase and contract-chain tracking under the CAO, including the rules coming in 2028.
  • Partner agencies checked against the public register, and AVG retention and deletion handled.
08

Placements and margin.

Keep people working, and know what every placement earns.

  • Check-ins with workers during the first weeks, and a sickness workflow that tracks every deadline.
  • An end-of-assignment radar: extensions asked in time, finishing workers matched to open roles.
  • The real margin per placement, client and recruiter, not the quoted one.
  • One dashboard across ATS, backoffice and accounting: fill rate, time-to-fill, hours per client.

How we build for agencies.

01

On top of your tools.

Your ATS, payroll and accounting stay. We build between them and around them, so your team keeps working the way it knows.

02

One problem at a time.

We start where the most hours go, get that running, then add the next part. No big-bang project, no year-long roadmap before anything works.

03

We speak agency.

Inlenersbeloning, fases, G-rekening, SNA. You do not have to explain your business before we can talk about fixing it.

04

A fixed scope and price.

You know what gets built, what it costs and when it lands, before the first line is written. New ideas go on the list for the next part.

How we work, step by step.

Discover.

Analyse · Day 0

One call about how your agency runs: which tools you use, where your recruiters, planners and backoffice lose hours, and what is keeping you up about the WTTA. Start with the readiness check if you want, or go straight to the call.

You get
An honest first read of where the biggest gains are, in plain language.
From you
One hour, and someone on the call who knows the daily work.

Map the chain.

Map · From intake to invoice

We walk the route a placement takes through your agency, from vacancy intake to payslip to invoice, together with the people who do the work. Every retype, every spreadsheet and every manual check goes on the map.

You get
A map of where the time goes, with the opportunities ranked by impact.

Free prototype.

Design · Free

Before you commit to anything, we build a working prototype of the part with the biggest impact. Something you can click, with your kind of data, not a slide.

You get
A working prototype of the first part.
How long
Within weeks of the discovery call.

Review & scope.

Scope · Together

We go through the prototype with you and the people who will use it. What is right, what is missing, what is unnecessary. Then we fix the scope, and you get one final round to add anything before it is locked.

You get
A fixed scope and price. What we agree is what gets built.

Build & go live.

Build · weeks

A few weeks of building on top of your existing tools, with progress you can see as it lands. Then we onboard your team, so it is part of the daily work from the first day.

You get
A live system, a trained team, and documentation written for the people who use it.

Run & add the next part.

Run · 24/7

We host, watch and improve what we built. When the first part runs, we pick the next one from the map. One part at a time, at the pace your agency can take.

You get
Monitoring, maintenance, and a standing line to the people who built it.

Step one costs an hour. The prototype costs nothing.

Plan a discovery call

A fit.

  • Staffing, recruitment and secondment agencies with roughly 5 to 200 people.
  • Agencies running ATS, payroll and invoicing in separate tools, with people filling the gaps by hand.
  • Agencies preparing for WTTA admission and SNA audits who want a file that is always ready.

Not a fit.

  • Agencies looking for a new off-the-shelf ATS. We build around your tools, we do not sell one.
  • Anyone who wants everything automated in one go, without mapping the work first.
Questions

What agency owners ask first.

01 Where do we start?

Where the most hours or the most risk sit. For most agencies that is hours to payroll and invoicing, onboarding, or the compliance file. The map from step two makes it concrete for your agency.

02 Do we have to replace our ATS or backoffice?

No. We build on top of what you run, whether that is Carerix, Mysolution, Bullhorn, Easyflex, Loket, Nmbrs, AFAS or Exact. If a tool offers no way to connect, we tell you in the first call what that means.

03 Does this make us WTTA-compliant?

We make your file provable: the documents, records and evidence the standards ask for, current and in one place. Admission itself runs through the certificate or inspection route. We help you plan that route and keep the evidence ready for it.

04 How do you handle candidate and worker data?

We get exactly the access needed to build, nothing more, and you can revoke it at any time. AVG retention and deletion rules are part of the design, and candidate data stays in the systems you already use.

05 Is the prototype really free?

Yes. It is how we would rather win work: show, do not pitch. If you do not continue, you keep the map and the thinking, no invoice.

06 Our agency is small. Is this for us?

Often it matters most for small agencies, where one person carries the whole backoffice. The discovery call is where we tell you honestly whether a build is worth it for you.

Ready for 1 November?

Know where your file stands before registration opens.

Eight questions, five minutes. You see straight away where your file is provable and where it is not, against the norms that count. Then we follow up personally, whether you build with us or not.
